Marketing and 5k Event Coordinator

POSITION SUMMARY:

Position coordinates the overall marketing of programs, 5k event and other special events and serves as the lead staff in the coordination and implementation of the Girls on the Run 5k event resulting in a community celebration event culminating the spring Girls on the Run season. Outstanding marketing, communication and event management skills and experience, and the ability to quickly engage potential and current volunteers, manage multiple tasks simultaneously in a team environment working under time constraints, and who understand and embrace diversity and inclusiveness in thought, word and actions. 

 WORKING CONDITIONS:

Normal working conditions where there is no physical discomfort due to temperature, dust, noise and the like.  Occasionally lifts average 40-pound boxes of supplies, materials, etc. to waist high level.  Ability to drive plus the availability of a vehicle to use for getting to and from meetings and other events.  Valid Michigan driver’s license and the ability to obtain necessary auto insurance for the above purposes.   Must be able to work a varied schedule when required, including evenings, early mornings and weekends in order to cover the work.  Must be able to observe and hear program participants, staff, volunteers, and Council partners across a wide range of settings and interpret that input for the purpose of evaluation, monitoring and program modifications.  This is a part-time position working an average of 25 hours per week, 48 weeks per year (off work in July), with peak hours during critical program periods.

 MARKETING RESPONSIBILITIES:

  • Coordinate the overall marketing of programs, 5k event and other special events. 
  • Attend GOTR Marketing Committee meetings.
  • Design print materials including fliers, brochures, etc.
  • Write press releases and Girls on the Run blog, respond to media inquiries, arrange interviews, identify stakeholders and the best way to communicate with them.
  • Work with printers to secure quotes and print jobs.
  • Assist in the development of multimedia tools as needed.  Review and archive photographs and other media.
  • Assist in managing social media to create and maintain a favorable image for Girls on the Run and communicate and energize stakeholders; maintain and broaden social networking to benefit the organization.
  • Assist in the marketing and recruitment of Girls on the Run SoleMates.

 5k EVENT RESPONSIBILITIES:

  • Serve as the lead staff in the coordination and implementation of the Girls on the Run 5k event resulting in a community celebration event culminating the spring Girls on the Run season.
  • Serve as a staff liaison to the 5k committee.  In conjunction with the 5k committee chair and members, coordinate all event logistics.  Attend committee meetings.
  • Assist with 5k volunteer recruitment, training, communication, appreciation and recognition. 
  • Maintain a database of interested volunteers connecting them to specific roles.  Seek feedback from volunteers post event to enhance future event implementations.  Use technology as necessary including RacePlanner, Google Docs and Survey Monkey.
  • Collaborate and communicate effectively with community partners, donors, the City of Kalamazoo, vendors and 5k venue staff as necessary to coordinate the Girls on the Run 5k event.
  • Partner with other Girls on the Run staff to ensure effective 5k-related communication occurs with Girls on the Run programs’ coaches, liaisons, parents, and other stakeholders. 
  • Serve as the primary contact for all inquiries related to the Girls on the Run 5k event safety and communication plan.
  • Assist in securing sponsors for GOTR 5k and other special events – in-kind and/or cash, track donors in donor database and ensure proper recognition is given.
  • Assist with the overall marketing of 5k events and special events.  Attend GOTR marketing committee meetings and promote GOTR events at community health and volunteer fairs.
  • Increase community runner and volunteer participation annually. 
  • Ensure adherence to the Girls on the Run International brand identity standards.
  • Form trusting and productive working relationships with volunteers and the Greater Kalamazoo Girls on the Run Council.

 KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Bachelor’s degree or equivalent 2 or 3 years of relevant experience and knowledge;
  • Prefer a minimum of 2 to 4 years experience in a marketing and special events management position.
  • Evidence of successful event, sponsorship, marketing, and public relations required.
  • Experience developing marketing materials;
  • Excellent verbal and written communications skills;
  • High degree of organizational ability and the ability to work independently with limited supervision;
  • Demonstrated capacity to manage many projects and activities simultaneously and work under time constraints;
  • Ability to clearly articulate program mission and impact and generate interest and excitement about Girls on the Run;
  • Requires experience with personal computers and proficiency using word processing software, spreadsheets, the internet, electronic mail, and databases;
  • Demonstrated creativity;
  • Ability to work collaboratively with staff and program volunteers to support the mission of Girls on the Run;
  • Experience with e-mail marketing campaigns, content management systems and social media tools preferred;

Position Specifics: Hourly position. In addition to traditional office hours, the Marketing and Outreach Coordinator is expected to work occasional weekends and evenings to participate in scheduled events and meetings as the work of the organization requires.

Program and Office Assistant

 POSITION SUMMARY:

Provide administrative assistance in support of Girls on the Run and Heart & Sole program operations and assist with general office activities. Responsible for assisting with the volunteer application and approval process.

 WORKING CONDITIONS:

Normal working conditions where there is no physical discomfort due to temperature, dust, noise and the like.  Occasionally lifts average 35-pound boxes of supplies, materials, etc. to waist high level.  This is a part-time, hourly, 10-month position (approximately early-August through early June), working an average of 24 hours per week with peak hours during critical program periods.

 RESPONSIBILITIES:

Program Support

  • Provide general program and services information to callers, visitors, and prospective participants
  • Process participant registration forms and payments as needed
  • Maintain program files and data
  • Assist with compiling reports
  • Update forms, policies, and documents as needed.
  • Create and update, as needed, applications in GOTR Raceplanner computer system;
  • Manage and update electronic coach and assistant coach files including tracking of first aid and CPR training, health histories, program participation consent forms and others as needed;
  • Oversee volunteer background check process; review background check results and alert director and program staff of any charges that appear on candidate records; communicate and explore results with volunteers when appropriate.
  • Communicate effectively with volunteers to request necessary application materials and follow up when volunteer has not complied with all steps of the application process.
  • Assist staff in preparing and distributing curriculum materials and coaches’ training materials;
  • Assist with data collection and information management of program rosters;
  • Assist with 5k event-related activities as needed;

Office Administration

  • Provide general administrative and clerical support to Director, Coordinators and Managers.
  • Answer telephone, screen and direct calls, take and relay messages.
  • Greet visitors and direct them as appropriate.
  • Be aware of staff comings and goings; contact staff regarding updates to daily activities as needed.
  • Attend to mail and general filing; help keep office environment neat
  • Organize and maintain general office supplies.
  • Other duties as assigned by supervisor.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Experience with personal computers and proficiency using Word, Microsoft Excel and Microsoft Outlook software;
  • Experience with database programs and cloud-based systems
  • Familiarity with fax machines, copy machines, networks and laser printers;
  • Excellent verbal and written communications skills;
  • Excellent attention to detail and proofreading skills;
  • Strong customer service skills;
  • Strong organizational and problem-solving skills;
  • Ability to manage multiple tasks simultaneously and work under time constraints;
  • Bachelor’s degree preferred.

Position Specifics: In addition to traditional office hours, there are occasional weekends and evenings to participate in scheduled events and meetings as the work of the organization requires. There are vacation blackout periods (Mid-January through late March and September through mid-December.)

Intern

The GOTR Intern works with the staff to help with preparation for the Heart & Sole program, preparation for the Girls on the Run program and fundraising. The intern is expected to work a minimum of 10 hours per week in the winter/spring of 2017. This is an unpaid internship.
